We are seeking a Project Assistant to support OCALI’s Integrated Solutions Team, Marketing & Communications Team, and Accessibility Support Team. These teams collaborate closely in the production and promotion of the organization’s resources, professional development, trainings, and websites. The daily requirements of the Project Assistant role will vary widely, such as managing the completion of multi-step processes, monitoring and responding to inquiries, maintaining team schedules and documentation, supporting data collection, reporting requirements and fiscal management, providing technical assistance and administrative support, and completing other duties as assigned.
Minimum Qualifications:
- Self-motivation and initiative, strong independent work ethic.
- Strong organizational skills, attention to detail, and proven ability to perform assigned tasks independently with a high degree of accuracy.
- Proven ability to use good judgment, prioritize, and meet deadlines across multiple projects simultaneously.
- Ability to maintain the confidentiality of sensitive and private data.
- Ability to approach situations and challenges with flexibility and a sense of humor.
- Ability and desire to work in a team environment and with diverse groups of people.
- Experience and proficiency in fiscal management.
- Excellent written and verbal communication skills.
- Experience and proficiency with applications and online environments including but not limited to: Microsoft Word, Excel, PowerPoint, Teams/Zoom, SharePoint, Project Management applications, such as Trello, as well as interest in new technologies as they emerge.
- Bachelor’s degree, or comparable experience, required.
Responsibilities and Essential Functions:
- Coordinate workflow documents and materials for deadline-sensitive tasks.
- Provide administrative support along with clerical tasks that aid the daily team operations.
- Independently plan and schedule internal and external meetings.
- Strong ability to prioritize between multiple and changing daily tasks while effectively managing short, mid, and long-term assignments.
- Track, document, and communicate proactively on status of projects; identify and surface potential issues; creatively problem-solve as needed.
- Work collaboratively with internal, and on occasion, external partners to coordinate the operations and activities to increase efficiency.
- Demonstrate accuracy, responsiveness, and positive communication, written and oral, with internal and external customers.
- Maintain and organize project documentation. Ensure all activity is recorded accurately and evaluated accordingly.
- Work across multiple projects tracking and reporting on status through reports and internal meetings.
- Willingness to take direction and constructive feedback to improve actions and performance.
- Manage data effectively and perform basic computations using tools such as Excel/Numbers.
- Collaborate with fiscal team on responsibilities including but not limited to maintaining fiscal records, vendor contract preparation, purchase orders, invoices, reporting, etc.
- Willingness to learn accessibility principles or practices as they relate to specific tools and responsibilities.
- Other duties may be reasonably required from time to time.

Salary: Salary range $50K to $60K, commensurate with experience.
Reports To: Senior Director, Integrated Solutions and Project Management
